1. SPONSORSHIP BENEFITS
Sponsor will receive the benefits included with the selected sponsorship level, as described in the current HR + Safety Congress sponsorship package.
Sponsorship benefits are subject to availability. Sponsored sessions, promotional placement, and other limited opportunities are not guaranteed until confirmed by the Organizer in writing.
Sponsorship does not create an exclusive relationship unless exclusivity is specifically stated in writing.
2. PAYMENT
Payment is due within 15 days of the invoice date unless different terms are approved by the Organizer in writing.
The sponsorship is not confirmed until this Agreement is signed and payment arrangements have been approved.
Because sponsorship benefits and promotional services may begin immediately, sponsorship fees are nonrefundable.
Sponsor’s failure to attend the event, submit materials, staff its virtual booth, or use an available benefit does not qualify Sponsor for a refund.
3. SPONSOR MATERIALS
Sponsor must provide requested materials by the deadline established by the Organizer. Materials may include:
Company logo
Company description
Website and privacy policy links
Sponsor representative information
Videos, images, or PDF resources
Sponsored-session information
The Organizer is not responsible for benefits that cannot be provided because Sponsor submitted materials late or in an unusable format.
Sponsor confirms that it owns or has permission to use all materials it provides.
4. USE OF NAMES AND LOGOS
Sponsor gives the Organizer permission to use Sponsor’s name, logo, company description, and approved promotional materials to promote and deliver the event.
Sponsor may identify itself as an official sponsor of the HR + Safety Congress Virtual Summit.
Neither Party may state or imply that the sponsorship creates a partnership, endorsement, certification, or ownership relationship.
5. EVENT AND PLATFORM CHANGES
The Organizer may make reasonable changes to the event schedule, speakers, sessions, platform, format, or sponsor placement.
Zoom Events and other third-party platforms may change or experience technical interruptions. The Organizer does not guarantee a specific number of booth visitors, attendee leads, sales, contracts, or other business results.
If a promised platform feature becomes unavailable, the Organizer may provide a reasonably comparable substitute benefit.
6. SPONSOR CONDUCT
Sponsor materials and representatives must remain professional and must not include unlawful, misleading, discriminatory, offensive, infringing, or unauthorized content.
Sponsor may not record event sessions or attendees without written permission from the Organizer.
The Organizer may remove inappropriate materials or representatives when necessary to protect the event and its participants.
7. ATTENDEE INFORMATION
Sponsor does not automatically receive the full attendee registration list.
Sponsor may receive information voluntarily provided by attendees, information available through Zoom sponsor analytics, or information attendees have agreed may be shared.
Sponsor is responsible for using attendee information lawfully and honoring all unsubscribe and opt-out requests.
8. EVENT CANCELLATION OR RESCHEDULING
If the event is rescheduled, the sponsorship will transfer to the new date.
If the Organizer cancels the event and does not reschedule it, Sponsor may receive a refund or credit, less the reasonable value of benefits already provided.
The Organizer is not responsible for indirect costs or losses incurred by Sponsor.
9. SIGNATURE
Electronic signatures and electronically accepted agreements will be treated as valid signatures.
